Terms of Service

Welcome to OURCHIVES Strategic Literacy Institute ("OURCHIVES," "we," "us," or "our"). By enrolling your child in any OURCHIVES program, creating an account on our website, or using our services, you ("Parent," "Guardian," or "you") agree to be bound by these Terms of Service. Please read them carefully before completing enrollment.

1. Enrollment and Payment

1.1 Camp Confidence

Camp Confidence enrollment is processed as a one-time payment per camp week selected. Pricing varies by schedule type (Half Day or Full Day) and any optional add-ons (Extended Day, Vegan Lunch). A one-time registration fee of $50 per family applies to all new camp enrollments. Payment is collected in full at the time of checkout through our secure payment processor, Stripe. Your child's spot is not guaranteed until payment is successfully processed.

1.2 Peer Circle Tutoring

Peer Circle Tutoring operates on a recurring subscription model. When you enroll, you select a commitment length (3, 6, 9, or 12 months). You will be billed monthly at the rate corresponding to your selected commitment. By enrolling, you authorize OURCHIVES to charge your payment method on file each billing cycle for the duration of your commitment. Pricing is determined by commitment length, and longer commitments receive a discounted monthly rate.

1.3 General Payment Terms

All prices are listed in U.S. dollars. We reserve the right to adjust pricing for future enrollment periods. Any price changes will not affect active commitments or previously purchased camp weeks. Payments are processed securely through Stripe; OURCHIVES does not store your credit card or bank account information on our servers.

2. Cancellation and Refund Policy

2.1 Camp Confidence Refunds

You may request a full refund for any camp week within 72 hours of your initial purchase. After this 72-hour window, camp fees are non-refundable. If OURCHIVES cancels a camp week for any reason (including insufficient enrollment or unforeseen circumstances), you will receive a full refund for the affected week(s). Refund requests should be submitted to info@LetsBuildOurchives.com.

2.2 Tutoring Cancellation

Tutoring subscriptions may be canceled at the end of your selected commitment period. To cancel, you must notify us at least 14 days before your commitment end date. If you do not cancel before your commitment renews, your subscription will continue on a month-to-month basis at the then-current monthly rate. Early termination of a tutoring commitment before the end of the selected term is not permitted except in cases of documented medical necessity or relocation, subject to our review. Approved early cancellations may be subject to a prorated adjustment.

3. Peer Circle Formation

Peer Circle Tutoring groups consist of 2 to 5 students matched by grade band. When you enroll, your child is placed into a forming circle for their selected time slot and grade band. A peer circle is confirmed once a minimum of 2 students are enrolled in the same slot. If your child's peer circle does not reach the 2-student minimum within 72 hours of enrollment, OURCHIVES will notify you and offer the option to select a different time slot or receive a full refund. Billing does not begin until your child's peer circle is confirmed. OURCHIVES reserves the right to reassign students to a different time slot within the same grade band if necessary to form a viable circle, with prior notice to the parent or guardian.

4. Sibling Discount

A 10% sibling discount is available when two or more children from the same household are enrolled in Camp Confidence during overlapping weeks. The discount applies to the camp tuition of the second (and any additional) child. To receive the sibling discount, you must indicate the sibling enrollment during registration. The sibling discount cannot be combined with other promotional offers unless explicitly stated. OURCHIVES reserves the right to verify sibling relationships and may request documentation. Misrepresentation of sibling status may result in forfeiture of the discount and adjustment of charges.

5. Student Code of Conduct

All students participating in OURCHIVES programs are expected to:

OURCHIVES reserves the right to dismiss any student whose behavior repeatedly or seriously violates this code of conduct. In the event of dismissal for behavioral reasons, refunds will be issued on a prorated basis at the sole discretion of OURCHIVES. Parents or guardians will be contacted before any dismissal action is taken, except in cases involving immediate safety concerns.

6. Liability and Assumption of Risk

Camp Confidence includes a variety of activities such as outdoor games, STEM experiments, art projects, team challenges, and physical activities. While OURCHIVES takes reasonable precautions to ensure the safety of all participants, participation in camp activities involves inherent risks, including but not limited to minor injuries, exposure to outdoor elements, and physical exertion.

By enrolling your child in Camp Confidence, you acknowledge and voluntarily assume these risks on behalf of your child. You agree that OURCHIVES, its officers, employees, instructors, and volunteers shall not be held liable for any injury, illness, loss, or damage arising from your child's participation in camp activities, except in cases of gross negligence or willful misconduct by OURCHIVES.

You agree to indemnify and hold harmless OURCHIVES and its staff from any claims, damages, or expenses (including reasonable attorneys' fees) arising out of your child's participation in our programs, except to the extent caused by the gross negligence or willful misconduct of OURCHIVES.

7. Photo and Media Release

By enrolling your child in any OURCHIVES program, you grant OURCHIVES permission to photograph, video record, and otherwise capture images or likenesses of your child during program activities. These materials may be used for promotional purposes, including but not limited to our website, social media channels, newsletters, printed marketing materials, and presentations.

No compensation will be provided for the use of such materials. If you do not wish for your child to be photographed or recorded, you must notify us in writing at info@LetsBuildOurchives.com prior to the start of the program. We will make reasonable efforts to accommodate opt-out requests, though we cannot guarantee complete exclusion from incidental background appearances in group settings.

8. Communication Consent

By providing your email address and phone number during enrollment, you consent to receive communications from OURCHIVES, including:

You may opt out of promotional emails at any time by clicking the unsubscribe link included in our emails or by contacting us directly. Please note that transactional communications related to your active enrollment (such as payment receipts, schedule changes, and safety notices) cannot be opted out of while your child is enrolled in an active program.

9. Modifications to Terms

OURCHIVES reserves the right to update or modify these Terms of Service at any time. When we make material changes, we will notify you via the email address on file at least 14 days before the changes take effect. Your continued use of our services or participation in our programs after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree with the revised Terms, you may cancel your enrollment in accordance with Section 2 of these Terms.

10. Dispute Resolution

These Terms of Service shall be governed by and construed in accordance with the laws of the State of Georgia, without regard to its conflict of laws provisions. Any dispute, claim, or controversy arising out of or relating to these Terms or your use of OURCHIVES services shall be resolved exclusively in the state or federal courts located in Fulton County, Atlanta, Georgia. By enrolling in our programs, you consent to the personal jurisdiction and venue of these courts.

Before initiating any formal legal action, you agree to contact OURCHIVES at info@LetsBuildOurchives.com to attempt to resolve the dispute informally. We are committed to addressing concerns promptly and fairly, and most issues can be resolved through direct communication.
